This Privacy of Information Policy applies to the processing of personal data carried out by KIKN (Kids in Kathmandu Nepal) when you visit our website or otherwise interact with us.

In connection with the different ways we may interact with you we may collect the following categories of data:

Communication data between you and us, including e-mail communication, or comments posted on our website and on social media platforms.

Digital information data collected when you visit our website, or other digital platforms, including IP-addresses, browser data, traffic data, social media behaviour, and user patterns. If you subscribe to our newsletter, we may collect data regarding which newsletters you open, your location when opening them and whether you access any links inserted in the newsletters.

  1. WHERE WE COLLECT YOUR DATA FROM

Most of the data that we have about you are provided by you eg. name, email address, postal address. We collect Digital Information data from our website, and similar digital platforms.

We process your personal data for the following reasons:

Communication

Description: We use the Contact and Communication data to provide you with relevant information related to our charity and for administration purposes eg. HMRC Gift Aid returns. We may provide such information by electronic or other means.

Legal basis: We only use such data to provide you with important news and information about our charity and any other events held in conjunction with the charity.

Disclosure: We do not disclose your Contact and Communication data to any third party.

Direct Marketing

Description: We use Contact, Communication and Digital Information data to provide you with newsletters and other information from the charity.

Legal basis: As long as you have an existing relationship with us, our use of such data to promote our charity is based on our legitimate interest in providing you with relevant information. You may at any time opt out of receiving such information. If you do not have an existing relationship with us, we will only use your data to send you information if you have given your consent.

Disclosure: We do not disclose your data to any third party.

Statistics and Analysis

We use anonymised data to generate statistics and analysis.

  1. HOW LONG WE STORE YOUR DATA FOR

We will only store your data for as long as it is necessary to fulfil the purpose of the processing of your data.

If you have consented to receiving information and newsletters from us, we will only store your Contact, Communication and Digital Information data for as long as you wish to receive such information and newsletters. NB. We do not store any bank details that you may have supplied for the purposes of sponsorship direct debit payments. These details are passed straight to the relevant banks.

  1. HOW YOU CAN ACCESS, RECTIFY OR ERASE YOUR DATA AND FILE COMPLAINTS

You may contact us at any time if you wish to receive access to or rectify your data. Further, you may request a copy of the data that we have collected from you.

You may ask us to erase data that we have collected from you. We must however keep data as necessary to fulfil our agreement with you and as necessary to comply with law or on request from authorities.

If you consider that our use of your personal data is inappropriate, you may file a complaint with the Information Commissioner’s Office . Before filing such a complaint, we ask that you contact us, as we may be able to provide you with answers and to correct any potential misunderstandings.
